1. Booking & Confirmation

A booking is considered confirmed once Africa Prince Adventure has received the required booking information and applicable deposit or payment.

A booking confirmation will be provided with details of your itinerary, services, dates, and agreed price.

All services are subject to availability at the time of booking.

2. Prices & Payments

All tour prices are based on the services and arrangements stated in your quotation or booking confirmation.

A deposit may be required to secure your booking, with the remaining balance payable according to the payment schedule provided.

Additional costs resulting from changes requested by the traveler, personal expenses, or services not included in the itinerary are the responsibility of the traveler.

3. Cancellation by the Traveler

If you need to cancel your trip, please notify us as soon as possible.

Cancellation charges may apply depending on how close the cancellation is to the scheduled travel date and the commitments already made with accommodation providers, transport services, parks, and other suppliers.

Any applicable refund will be determined according to the cancellation terms provided with your booking confirmation.

4. Changes to Your Booking

We will do our best to accommodate requested changes to your itinerary. Changes may result in additional charges depending on availability and supplier conditions.

Changes to flights, accommodation, safari routes, trekking dates, or other services may be subject to third-party fees.

5. Changes or Cancellation by Africa Prince Adventure

Although we aim to operate your itinerary as confirmed, circumstances beyond our control may require changes.

These may include severe weather, road conditions, park regulations, natural events, airline changes, government restrictions, safety concerns, or other unforeseen circumstances.

Where possible, we will provide a suitable alternative or reasonable adjustment to your itinerary.

6. Travel Documents & Visa Requirements

Travelers are responsible for ensuring that they have valid passports, visas, permits, travel insurance, and any other documents required for their journey.

We can provide general information and guidance, but travelers should confirm current entry and visa requirements with the relevant authorities before traveling.

7. Health & Fitness

Travelers are responsible for ensuring that they are physically and medically prepared for their chosen activities.

For trekking, particularly Mount Kilimanjaro and Mount Meru, an appropriate level of fitness is important.

Travelers should inform Africa Prince Adventure of any relevant conditions, dietary requirements, allergies, or special assistance needs before travel.

8. Kilimanjaro & Mountain Treks

Mountain trekking involves inherent risks, including altitude-related illness, changing weather, difficult terrain, fatigue, and other natural hazards.

Our guides will prioritize your safety and may recommend changes to the itinerary or descent if conditions become unsafe.

Reaching the summit cannot be guaranteed, as safety decisions depend on weather, health, mountain conditions, and individual circumstances.

9. Safari & Wildlife

Wildlife viewing takes place in natural environments. Animal sightings cannot be guaranteed, and wildlife behavior is unpredictable.

Travelers must follow the instructions of their safari guide and comply with national park and conservation-area regulations.

Africa Prince Adventure is not responsible for changes in wildlife movements or sightings.

10. Accommodation

Accommodation is provided according to the category and properties specified in your booking confirmation.

If a booked property becomes unavailable due to circumstances beyond our control, we may arrange suitable alternative accommodation of a similar standard where reasonably possible.

11. Transport

Safari vehicles and other transportation services are subject to road, weather, traffic, and operational conditions.

Travel times provided in itineraries are estimates and may change due to road conditions, wildlife encounters, park regulations, or other circumstances.

12. Travel Insurance

Comprehensive travel insurance is strongly recommended.

Your insurance should provide appropriate coverage for medical expenses, emergency evacuation, trip cancellation or interruption, baggage, personal belongings, and adventure activities where applicable.

13. Personal Belongings

Travelers are responsible for their personal belongings, valuables, money, travel documents, cameras, and electronic equipment.

Africa Prince Adventure is not responsible for loss, theft, or damage to personal property unless caused by our proven negligence.

14. Personal Expenses

Unless specifically included in your booking, travelers are responsible for personal expenses such as:

• International and domestic flights
• Visa fees
• Travel insurance
• Tips and gratuities
• Laundry
• Alcoholic beverages
• Personal shopping
• Additional activities
• Personal communications
• Other services not included in the confirmed itinerary

15. Tipping

Tipping is not normally included in tour prices unless specifically stated.

Tips are voluntary and are a way to recognize good service from guides, drivers, porters, cooks, hotel staff, and other service providers.

16. Traveler Responsibilities

Travelers are expected to:

• Follow the instructions of guides and staff.
• Respect local communities, cultures, wildlife, and the environment.
• Follow national park and conservation regulations.
• Provide accurate information during the booking process.
• Take reasonable care of accommodation, vehicles, and equipment.
• Behave responsibly throughout the trip.

Africa Prince Adventure reserves the right to take appropriate action if a traveler’s behavior creates a serious safety risk or significantly affects other travelers or staff.

17. Force Majeure

Africa Prince Adventure cannot be held responsible for delays, cancellations, losses, or changes resulting from circumstances beyond reasonable control.

Such circumstances may include natural disasters, extreme weather, political events, strikes, pandemics, government restrictions, civil disturbances, road closures, airline disruptions, or other unforeseen events.

18. Complaints

If you experience a problem during your trip, please inform your guide or Africa Prince Adventure as soon as possible.

Giving us the opportunity to address an issue while you are traveling can help us find an appropriate solution promptly.

19. Photography & Marketing

With your permission, photographs or videos taken during your trip may be used by Africa Prince Adventure for promotional purposes.

We will respect any request not to use identifiable images of you for marketing.

20. Privacy

Personal information provided during the booking process will be handled responsibly and used for purposes related to planning, delivering, and communicating about your trip.

We will not knowingly share your personal information with unrelated third parties except where necessary to provide booked services or where required by law.

21. Acceptance of Terms

By making a booking with Africa Prince Adventure, you confirm that you have read, understood, and accepted these Terms & Conditions.

These terms may be updated from time to time. The applicable terms are those provided or referenced at the time of your booking.
